Workflow: Reports and Dashboards ÔÇö Filter, Analyse, and Export

Workflow 6: Reports, Dashboards, Filtering, Analysis & Export

This workflow covers how to use the reports module effectively — selecting the right report type, applying filters to get clean data, comparing periods for trend analysis, reading dashboard widgets for daily operational visibility, and exporting data for meetings or finance handover. Clean reports drive better decisions; poorly filtered reports mislead them.

Prerequisites before starting:
  • Reports module and dashboard widgets are enabled.
  • Your role has View Reports permission for the relevant report categories.
  • Underlying data entries (leads, invoices, appointments) are current and updated by all team members.
  • Report date ranges and status filters must be understood before drawing conclusions — confirm with your team lead if unsure which filter combination represents your operational reality.
Quick Steps Summary
  1. Open the relevant report category (Leads, Finance, Appointments, Communications)
  2. Set date range and apply status, owner, and source filters
  3. Run the report and review totals and visual trends
  4. Compare with previous period to identify changes
  5. Export as CSV or PDF for sharing
  6. Use dashboard widgets for daily quick-checks without running full reports

Step-by-Step Workflow

  1. Select the Report Category: Navigate to Reports in the main menu. Select the relevant category — Sales/Pipeline (for lead conversion data), Finance (for invoice and payment data), Appointments (for schedule performance), or Communications (for campaign delivery rates).
  2. Set the Date Range: Choose a predefined range (This Week, This Month, Last Quarter, Last 12 Months) or enter a custom date range. For operational reviews, use the same period consistently week-over-week to enable valid trending. For ad-hoc analysis, use custom ranges tailored to the question being answered.
  3. Apply Filters: Add filters to focus the data:
    • Status filter: Exclude Draft and Cancelled records from revenue totals. Include only Completed appointments in schedule performance.
    • Owner/Team filter: Filter by specific staff members or teams to assess individual performance or team-level KPIs.
    • Source filter: For lead reports, filter by source channel to measure ROI across acquisition channels.
  4. Run the Report: Click Apply or Run Report. The report displays totals, breakdowns by category, and (where available) a visual trend chart showing the data over the selected period.
  5. Review Totals and Trends: Read the headline totals first (total leads, total revenue, total appointments). Then review the breakdown to understand which segments are performing well and which need attention. Look for anomalies — a sudden drop or spike in any metric warrants investigation before drawing conclusions.
  6. Compare Periods: Enable the Compare Period feature (previous month, previous quarter, or same period last year) to contextualise current performance. A metric that looks low in isolation may be typical when compared to the same period last year.
  7. Export the Report: Click Export to download as CSV (for data analysis in spreadsheets) or PDF (for sharing in meetings or formal reports). Name the exported file with the report type, date range, and filter applied — e.g. "Revenue_Report_Mar2026_Paid_Only.csv".
  8. Use Dashboard Widgets: For daily operational monitoring, use the dashboard widgets rather than running full reports each time. Key widgets typically include: Today's Appointments, Outstanding Invoices, Lead Pipeline Summary, and Recent Payments. Configure your dashboard to show the metrics most relevant to your role.
Data Quality Warning: A report is only as accurate as the underlying data. If team members are not updating appointment statuses, lead statuses, or invoice states regularly, reports will misrepresent operational reality. Establish a data hygiene culture — make status updates a non-negotiable daily practice.

Expected Outcomes

  • Operational reports provide a clear, filtered view of current performance without guesswork.
  • Period comparisons reveal trends that inform staffing, marketing spend, and service capacity decisions.
  • Exported reports provide a reliable record for management review, audit, and finance reconciliation.
  • Dashboard widgets give the team instant visibility without needing to run a full report for routine checks.
