Reports: Pipeline, Revenue, and Schedule Performance Reporting

Reports: Pipeline, Revenue, Schedule & Performance

The Reports module gives your team decision-ready visibility across all operational areas — from lead pipeline health and revenue collection to appointment scheduling efficiency. Clean filters and period comparisons turn raw data into actionable insights. This guide covers the three most used report categories: pipeline, revenue, and schedule performance.

Prerequisites: Users need View Reports permissions. The quality of report data depends on the completeness of underlying records — leads, invoices, and appointments must be updated regularly by all team members for reports to be accurate. Data entries that are left in draft or incomplete status may be excluded from certain report calculations.
Quick Steps Summary
  1. Navigate to Reports and select the report category
  2. Set date range, status filters, and owner/team filters
  3. Run the report and review totals and trend visualisations
  4. Compare with the previous period for trend analysis
  5. Export to CSV/PDF for meetings or finance handover

1. Pipeline Reports

Pipeline reports show how many leads are at each stage of the sales funnel, where leads are being lost, and how effectively your team converts prospects into clients.

  1. Open Pipeline Reports: Navigate to Reports > Leads or Reports > Pipeline. Select the pipeline overview or funnel report type.
  2. Set the period: Choose a predefined range (This Month, Last Quarter, Last 12 Months) or enter a custom date range. Use the same period consistently across weeks to enable valid comparisons.
  3. Apply filters: Filter by lead source to see which acquisition channels perform best. Filter by assigned owner to identify individual conversion rates. Filter by status to see how many leads are stuck at a particular stage.
  4. Review stage conversion rates: The funnel view shows the percentage of leads progressing from each stage to the next. A large drop between Qualified and Proposal Sent, for example, may indicate a gap in the proposal process or qualification criteria.
  5. Identify drop-off points: Sort leads by last-activity date to find those that have been inactive for too long. Assign re-engagement tasks directly from this view if supported.
  6. Export and share: Export the pipeline report as CSV for import into a spreadsheet, or PDF for presentation in team review meetings.
Tip: Schedule a weekly pipeline review meeting where each team lead reviews their own filtered pipeline report. Consistency in status updates by all staff dramatically improves the accuracy and usefulness of pipeline data.

2. Revenue Reports

Revenue reports provide a complete picture of invoiced amounts, collected payments, outstanding balances, refunds, and overdue debt. These are essential for monthly financial close and cash flow management.

  1. Open Revenue Reports: Navigate to Reports > Invoices or Reports > Finance. Select the revenue or collections summary.
  2. Review payment performance widgets: Key metrics typically include Total Invoiced, Total Paid, Total Overdue, Total Refunded, and Collection Rate (%). A collection rate below your target signals a need to review follow-up processes or payment terms.
  3. Filter by status: Use status filters to view Paid, Overdue, Draft, or Refunded invoices separately. Include only finalised invoices (exclude drafts) when reporting to finance or management.
  4. Compare periods: Use the period comparison feature to view this month vs last month, or this quarter vs the same quarter last year. Seasonal patterns or growth trends become visible through consistent period comparison.
  5. Export for finance handover: Export the monthly revenue snapshot as PDF or CSV. Include both the summary totals and the line-level detail so your accountant or finance team can reconcile against bank statements.

3. Schedule Performance Reports

Schedule performance reports track appointment outcomes — how many were booked, completed, cancelled, or resulted in a no-show. This data drives staffing decisions and service capacity planning.

  1. Open Schedule Reports: Navigate to Reports > Appointments or Reports > Schedule. Select the performance summary view.
  2. Set filters: Filter by date range, service type, and staff provider. Comparing providers helps identify workload imbalances or high no-show rates linked to specific booking types.
  3. Review key metrics: Key figures include: Total Booked, Total Completed, Cancellation Rate (%), No-Show Rate (%), and Average Duration. A high cancellation rate for a specific service or provider may indicate a process or communication problem.
  4. Trend comparison: Compare the current period against the previous period to identify capacity trends. If bookings are increasing but completions are flat, investigate whether cancellations or no-shows are growing.
  5. Use for staffing decisions: Share schedule performance data in team meetings to support decisions about adding providers, adjusting working hours, or changing booking window policies.
Data Quality Warning: Reports are only as accurate as the underlying records. Appointment statuses that are never updated to Completed or Cancelled will appear as Upcoming indefinitely, skewing performance metrics. Ensure all staff update appointment status after each visit.
